Prompting is the key skill to unlocking generative AI. Saving your prompts guarantees you can show your work using generative AI as your assistant, preventing it from being your replacement. In this post of “Monday’s Prompt”, we look at using the most popular generative AI program: ChatGPT.
In this post, I was inspired to show a simple but effective way to use ChatGPT that solved a large problem in a short time. We all need more time to collect our notes from separate emails, folders, apps and organize them into a useful format that can be used in our daily tasks and weekly reports. Let’s go through the four steps of promptly organizing your notes into a weekly report with ChatGPT.
Directing ChatGPT to be Your Assistant
I’ve saved the prompts, crucial when using generative AI, I used to instruct ChatGPT in creating a daily task and weekly report template and scanned my notes to reorganize them into a doable list per workday and finally as a weekly report. This is a great benefit when you don’t have the hours it takes to do all of that yourself. Let’s get started!
Step 1: Set Up ChatGPT
Before jumping in to make a weekly report, the first step is to set ChatGPT up for success. Do this by instructing it to, “You are an experienced executive assistant that excels in organizing notes, making reports and providing suggestions for simplifying reports into actionable steps. Got it?” This is a third-level prompt, and if you don’t know what that means, my generative AI: Master Prompting course is tailored made for you.
Step 2: Establish Your Task and Report Formats
The second step is to establish what the daily task and weekly report format will be. The prompt to use is, “Using your expertise maximize or change as needed this daily tasks template: Daily Tasks: • List of tasks to-do • Instruct to prioritize by need • Identify possible time wasters • Suggest list of prioritized in-order from urgent ➡ not important.”
Following ChatGPT’s response to that, prompt, “Good. This is my weekly report template. Change as needed this template keeping the focus on simple, clear and effective: Weekly Report: • Summary • Tasks Completed • Challenges and Solutions • Upcoming Priorities • Notes/Comments/Feedback”
Step 3: Bring Your Notes to ChatGPT
Now that the daily tasks and weekly report format are established, follow up with the third step, copy + pasting the notes and prompt ChatGPT to, “Scan these notes and organize them into our daily tasks for each weekday, and then draft the weekly report.”
Step 4: Finished in 60 Seconds
The final step is to double check for glaring errors, which there weren’t any. Then copy + paste what ChatGPT made into what best suits your work. I use Word and organize my notes in OneNote. The coolest part? It only took 60 seconds!!
